Band Booster Meeting October 13, 2004

President : no report given, as President was absent. Denise Hochschild, Secretary, led meeting. Members in attendance: Denise Hochschild, Chris Pinto, Jim Ruddiman, Karen Benton, Judy Baker, Sherry Henderson, Susan Cahill, Holly Brown, Maria Blew, Eleni Gountas

Meeting was called to order at 7:50pm Meeting was taped

Secretary's report: September minutes not available. Motion made to table reading/vote of the Secretary's report.

Scholarship wording: request made to reword and clarify scholarship wording. Will be revisited at another meeting. A suggestion was made to have another by-law review meeting. Susan Cahill expressed renewed concerns about the scholarship selection criteria, and that it should be at the discretion of the director, as it has been done in the past.

Thank you card was sent from Susan Ruddiman for all the kind cards and well wishes from her recent surgery.

Treasurers Report:

Refund for the Band Trip was made to each attending band member. Each trip attendee received $10.00 (those that had paid). $610.00 was refunded. Jim was still looking for two addresses, and Chris Pinto will provide that information to him.

Financial report submitted. $3,275 in account. Debits: $3, 069.45 Balance $913.24

Savings Account Deposits: $ 201.01 Current Balance: $ 6,148.89

$3,123.73 is the current available total balance of funds available.

Karen Benton motioned to accept report as printed, Eleni Gountas seconded motion. All in favor, none opposed. Motion carried.

July, August and September treasurer's reports were tabled due to a question regarding a check made out for the plaque last year. A check was issued in May, and has yet to be cashed. Pat Jones will investigate where the check is. The company will exhaust all searches for the check, and Jim Ruddiman will stop pay, and subsequently reissue the check to the company. Worst case scenario is that the stop pay will cost us either $15/$25 to issue.

Motion to approve July, August and September treasurer's reports made by Judy Baker, seconded by Sherry Henderson. All in favor, none opposed. Motion carried.

 

New Business/Old Business

-Sherry Henderson will investigate the cost of all weather raincoats for the Marching Bands use. Cost is approximately $60.00, including an emblem embroidered on the jacket. These will be more practical for the band use, and we will ultimately save money by eliminating the need to replace the place rain ponchos we now use. The cost will be very high, so we will further discuss the need for fundraising for the sole purpose of purchasing these ponchos. These prices are through the band catalog provided by Mr. Pinto. Sizes needed will be addressed in detail with Mr. Pinto. We will probably order mostly size L/XL (with measurements of the current band kids being used as a baseline). The coats will also cover hats, without the plumes, and will be worn over the band uniform. They can be used for the kids to march in during inclement weather, if necessary.

These jackets will be treated as a piece of the uniform, and will be issued as such.

Replacement costs would be the responsibility of the students if they are lost or damaged, just as the band uniforms. Mr. Pinto would like to sit down with the kids and get their opinions on style, etc.

Mr. Pinto suggested we wait until the budget line item to the NBC school board is reviewed. He will request these to be included in the budget, also.

It was consensus that we plan for this.

-Two receipts for a total of $80.85 were received by Jim Ruddiman for supplies needed for last year's concerts. A motion was made by Denise Hochschild to approve the payment of these bills, and approved by majority of those in attendance. Motion carried.

-Our Tax Exempt status was due for renewal, with a $30.00 filing fee to the state of NJ. Our taxes have also been filed with the accountant. Jim Ruddiman will report back

when he receives the final information.

-Mr. Pinto will be reimbursed for the glove purchase for the first pair of gloves to each marching band student. He will provide the bill to Jim Ruddiman for reimbursement directly, as this amount was approved at a previous meeting.

-Mr. Pinto expects to spend approximately $600.00 on props for the Marching Band, which will be deducted from the $2,000.00, that was previously allocated for MB expenses.

-Mr. Pinto will attempt to have NBC cover the expenses for winter guard, so as to not set a precedence for us having to pay for them again in the future.

-The Marching Band parents night will be rescheduled for a future date. The parents will be sitting on the 50-yard line. The flowers previously purchased for parent's night were donated to Port Claire's in Bordentown. $100.00 was originally budgeted; we only spent $30.00 so we have enough to purchase flowers again for the parents.

-$150.00 was previously added to the refreshment account for Parents Day, so it will remain there until after the Band Banquet and concerts are finished, and the balance will be returned to the general fund at the end of the year, if there is any. Need for additional funding will be addressed if it arises.

Band Banquet plans are being handled by Judy Baker. Some donations have been secured for the banquet, and the list will be available when Judy gets all the donations in. She is requesting help with set up, decorations, centerpieces, etc. Denise Hochschild, Maria Blew, Sherry Henderson and Eleni Gountas volunteered. Room arrangements were made for the Band Banquet, kitchen facility use will be checked.

  • Fund raising: Candle sale and CherryDale sales were being finished up. Prizes for the top three sellers for CherryDale will be given out at the end. PJ's will be coming up.

-A request for candy was made to the members in attendance at this meeting. The band kids will get a candy gram bag at the Neptune competition on Oct. 31. Maria Blew and Denise Hochschild will collect the candy. A motion was made to use money from obligated funds, if necessary. All in favor, motion passed.

-Snack night for the parents in the stands will be held in Sayreville. It is handled by the parents, Band Boosters is not responsible for anything directly.

-NBC will be hosting a competition during the '05-06, with the purpose of raising enough money to take the kids away for summer band camp.

-The next meeting is scheduled for November 10th, 2004.

-A motion to adjourn was made by Susan Cahill, and seconded by Jim Ruddiman (and about eight other people). Mr. Pinto clarified that this motion did not need to be seconded, but as the Secretary was unsure, she accepted the motion. The meeting was adjourned at approximately 9pm.
